Objective: Understand how AP Subcontract Phase Detail is imported into Trimble Pay from your ERP system, and how the subcontractor schedule of values in Trimble Pay ties back to the  AP Subcontract Phase Detail values. 

Prerequisites: 

• AP Subcontract Phase Detail is imported alongside the AP Subcontract. 
  • Reminder AP Subcontract in Spectrum must have a Status = Active (A in Spectrum) in order to flow into Trimble Pay for the associated project. More information on AP Subcontract import here: Subcontract Import from Spectrum

Tutorial: 

Automated Sync: AP Subcontract Phase Detail associated will be imported automatically alongside the associated AP Subcontract.

The AP Subcontract Phase Detail will become section headers within the subcontractor schedule of values. 

The subcontractor schedule of values can be created by the general contractor or subcontractor and will prevent invoicing until the sum of the values equals the AP Subcontract Phase Detail value. 

Result: The AP Subcontract Phase Detail will appear inside the subcontractor schedule of values inside the associated AP subcontract. The subcontractor schedule of values, when created, will be required to tie out to the phase detail value to ensure proper cost allocation when invoices are submitted in Trimble Pay and exported back to Spectrum.

• • For lump sum subcontracts:
    • Uniqueness determined by: Phase + Ct + Billing item
    • Billing item can be blank once per Phase + Ct combo
    • Phase cannot be blank
    • Ct cannot be blank
  • For unit based subcontracts:
    • Uniqueness determined by: Phase + Ct + Grp + Item
    • Grp can be blank once per Phase + Ct + Grp + Item combo
    • Item can be blank once per Phase + Ct + Grp + Item combo
    • Phase cannot be blank
    • Ct cannot be blank
